Spokane Co. 4-H Tack Swap Consignor Agreement

Please read thoroughly to ensure you understand this agreement. A hard copy of this Agreement will be available at Consignor Check-in on Friday for consignors to sign for Tack Swap recordkeeping. By printing your name and signing at the end of this agreement, you agree to the statements herein.

I am consigning merchandise for sale at the 4-H Tack Swap by the Spokane County 4-H Horse Project.

I agree to pay a non-refundable consignment fee of $5, $10, or $20 to the Tack Swap, based on the check-in service I need, regardless if items are/are not successfully sold. Cash, check, or credit/debit card (3% fee) accepted payable to Sp. Co. 4-H Horse Project.

I understand that due to the high cost of insurance, my merchandise will not be insured against any loss or damage while in the possession of the Spokane County 4-HTack Swap and Horse Project committee.

I agree that if merchandise I have tagged at home and consigned for sale at the Spokane 4-H Tack Swap is lost, stolen, damaged, destroyed, or if my item(s) become separated from its price tag, I will not make a claim against the Spokane County 4-H Horse Project for any loss suffered by me.

I understand that I am strongly encouraged to use special cardstock tags on all my items I wish to consign at the Spokane 4-H Tack Swap. Tags are available from the Spokane 4-H Extension office, 222 N. Havana St. #205, Spokane, 8:30am – 5pm, M-F.

I specifically waive any claim for negligence against the Spokane County 4-H Horse Project, its officers, volunteers, or members which might arise from consignment of merchandise for sale at the Tack Swap.

I agree to pay 15% commission to the Spokane County 4-H Horse Project if my consigned item(s) are sold.

I understand that consignor checks for 85% of my sold items will be mailed to the my registered mailing address by April 5, 2024.

I understand that my unsold items must be picked up and scanned out between 4:00-6:00 pm on Saturday, 3/23/24. Any unclaimed merchandise will become the property of the 4-H Horse Project Committee.

All equine/mule/pony/mini horse related items consigned to the Spokane Co. 4-H Tack Swap will be CLEAN and in GOOD REPAIR.  Non-equine related clothing, other livestock equipment and accessories (bovine, sheep, hog, llama, etc.) and other domestic pet  accessories (dog, cats, etc.) will not be accepted. Any items not appropriate for this sale will be returned to the consignor during check-in on Friday.

The price on the printed label is the final sale price during the tack sale 7am -2pm.

I agree to provide my valid driver’s license to the 4-H volunteer during Consignment Check-in to ensure my general information is entered correctly into the My Consignment Manager system (MyCM) and during Check-out/pick up to ensure that I am the registered seller or that my designated person is verified.

If I designate someone to collect my unsold merchandise for me, I will notify the 4-H volunteer during CHECK-IN of the name of this designated person. I will inform this designated person they must provide their valid driver’s license to the 4-H volunteer for verification purposes during check-out on Saturday.

By printing and signing my name to this agreement, I agree to the terms and conditions of this 4-H Tack Swap Consignor Agreement.

How to register as a consignor:

Using MyConsignmentManager.com/4htackswap (MyCM) consignment system:

Create an account, or login to your existing MyCM account at myconsignmentmanager.com/4htackswap

  1. read MyCM terms & conditions
  2. read Spokane Co. 4-H Tack Swap Consignor Agreement
    1. a hardcopy will be available at Check-in to sign
  3. Follow the prompts to register and enter/edit inventory items.
  4. Use highly detailed descriptions using all three available boxes.
    1. If a price tag becomes separated from an item, volunteers will do their best to match them up again.
  5. Prices start at $1.00 and go up in whole dollar increments. Use the decimal and two zeros for cents in the price box on MyCM inventory page.
  6. Select the DONATE box if you wish to donate any unsold items to Spokane Co. 4-H at the end of the sale.
  7. Save your data.
  8. SIGN UP for a “Consignor Check-in Appointment” to shorten your time in line during check-in on Friday.
    1. On the MyCM home page near the bottom, click on the “APPOINTMENT” icon.
  9. BRING your valid Driver’s license, and your MyCM account login and password to Consignor Check-in on Friday and Check-out on Saturday to assist the tack swap volunteers in retrieving the correct account on MyCM website.
    1. This also applies to your designated pick-up person; please inform them of this step
  10. BRING your consignor fee in cash, check, or credit/debit card (plus 3% fee); $5, $10, or $20 depending on the check-in services needed.

Three ways to check-in on Friday, March 22, 2024, 11am-7pm, Spokane fairgrounds Ag complex A, southwest door:

  1. FAST check-in: ($5 consignor fee) Sellers who have attached barcoded labels to 4-H special cardstock tags to clean items and only need their items scanned at check-in by 4-H volunteers. Refer to the ONLINE CONSIGNMENT INFO, the TAGGING GUIDE, and FAQ tabs for details.
  2. MEDIUM check-in: ($10 consignor fee) Sellers have completed the online registration through https://myconsignmentmanager.com/4htackswap, added inventory, but are UNABLE to print barcode labels at home, or didn’t acquire 4-H special cardstock tags before Friday, 3/15/24, or both. Refer to the ONLINE CONSIGNMENT INFO, the TAGGING GUIDE, and FAQ tabs for details.
  3. FULL SERVICE check-in: ($20 consignor fee) Sellers who need full assistance to register online, create an account, add inventory, print barcode labels, attach cardstock tags to items, and have items scanned into the system. Refer to the ONLINE CONSIGNMENT INFO and FAQ tabs for details.

All sellers are strongly encouraged to select an appointment time through https://myconsignmentmanager.com/4htackswap on the CHECK-IN icon. Inform a 4-H volunteer that you have an appointment. Tack Swap Consignor’s Tagging Guide

Preparing for the sale

 

We only accept CLEAN equine (horses/mules/minis/ponies)  related items:  home decor, toys, clothing, show clothing and accessories, silver halters and jewelry, horse trailers, driving equipment, trail packs and equipment, farrier supplies, etc.

  • We do NOT accept: 
    • Dirty, smelly, muddy items 
    • Dangerous/broken tack or equipment 
    • Any Helmets 
    • Other domestic pet or livestock items (dogs, cats, bovine, hogs, sheep, etc)

 

Prepare your inventory AT HOME – Zip ties, Labels, and Tags : (Prior to March 15, 2024)

  • Clean your items well.
  • Purchase small zip ties.
  • Purchase Avery 5163 labels, or similar 2” x 4” rectangle, permanent stick, white labels, 10 labels per sheet.
  • Pick up, or request to be mailed to you, Tack Swap special cardstock tags from the Spokane Co. 4-H Extension office PRIOR TO March 15, 2024 (222 N. Havana StSte 205, Spokane, 99202 )  
  • Print yourMyCM barcode labels at home if able 
  • Attach one barcode sticker label to one side of the 4-H cardstock tag 
  • Zip tie the cardstock tag to the correct item as directed in the next section

 

IF YOU ARE UNABLE TO COMPLETE ANY OF THESE STEPS AT HOME, the MyConsignmentManager.com/4htackswap website is still open so you can register, add/edit inventory, print barcode labels, and make an appointment to check-in. Tack Swap volunteers will assist you with any part you are unable to complete during Consignment Check-in Day on Friday, 11 am – 7 pm, Spokane Fairgrounds, Ag Complex A. 

 

Tagging Items: Any items that seem impossible to tag according to the following instructions will be completed by a tack swap volunteer at the Trouble Table.

  • Use the smallest zip tie possible 
  • Leave a loop between the zip tie closure point and the item to allow movement. This reduces separation of the tag from the item.
  • Items such as books, buckets, some grooming totes, grooming bottles, and spray bottles can have the barcode sticker label affixed directly onto the item.
  • If an item is placed into a Ziplock bag, close the bag, punch a small hole below the closure, and secure the closure with a zip tie. Affix the barcoded sticker label directly onto the ziplock bag. 

Clothing: 

    • Zip tie the cardstock tag through lapel holes, manufacturer tags, button holes, lace, loops, zipper pulls, etc anything that is a permanent loop.
    • Attach matching accessories in a zip-lock bag to the main piece of clothing. 
    • Always put a zip tie around the closure of the zip lock bag so it cannot be opened. 
  • BOOTS 
      • TAG the RIGHT boot  through the loop with the barcoded cardstock tag, TAPE the LEFT boot with masking tape or a blank sticker label, write your seller # and item # on the tape/label, attach tape/label to the bottom of the sole of the boot. 
      • Do not zip tie boots together. This prevents them from being tried on. 
      • If boots do not have a loop, the volunteers will assist you in tagging the items
    • JEANS/BREECHES/PANTS: attach cardstock tag through a belt loop above the REAR POCKET 
    • HATS: attach cardstock tag to the OUTSIDE of hats through holes, weave, hat band, liner. Hat boxes are not guaranteed to stay with the hat. 
    • JEWELRY: Place small items inside a ziplock bag secured with a zip tie. Place the barcode label directly on the bag 
  • MULTI-PIECE CLOTHING SETS 
    • On the tag with the Barcode: WRITE 1 of ____ (total # of pieces) For example: 1 of 2, 1 of 3, 1 of 4
    • On blank tags for each piece of the outfit write 1 of ____, 2 of ____, 3 of ____, etc.. 
    • Include the Seller # & Item # on ALL tags of the multi-set.

Saddles: 

  • Use a YELLOW laminated cardstock tag only! Available at Sp. Co. 4-H Extension office or at Tack Swap
  • Attach the YELLOW TAG to the right front corner (off side) of the saddle. (Right side as you sit in the saddle) 
  • The Saddle Department will measure all saddles for accuracy and will attach all accessories. 

Saddle Blanket/Pads 

  • Attach the cardstock tag on the corner of the item with a zip-tie through weave, tags, loops, leather wear guard.

Bridles/Headstalls:

  • Zip tie bridles sets together through permanent holes such as the bit, headstall, strap, reins. DO NOT wad it up. It must hang as if in a tack room 

Splint & Sport Boots 

  • Zip-tie together through buckles or manufacturer labels, then affix cardstock tag through the looped zip tie. 
  • Make sure there is a left and a right boot.
  • DO NOT wrap the boots one inside the other. People need to be able to see both boots 

Blankets: 

  • Attach tags toward the front of the blanket if possible 
  • DO NOT attach tags to  blanket bags. Unzip the bag & attach tag to the item itself.

Whips/Crops: 

  • Attach tags at the top of the whip. If it has a long tail, do not attach it to the end of tail. 
  • Tags must not be able to slide off the whip. 

Polo and Standing Wraps: 

  • Roll them up tightly and place them inside a large ziplock bag. 
  • Close the bag, punch a small hole below the closure, and secure the closure with a zip tie through hole.
  • Affix barcode label on ziplock bag. 

Silver: Items with silver, high priced items, and delicate items such as show bits, show bridles, show outfits, show clothing sets, and show saddles will be separated from the other departments and taken to the Silver area. Rev 12/23

Pick up special 4-H Tack Swap cardstock tags from the Spokane Co. 4-H Extension office PRIOR TO 3/15/24, (222 N. Havana St. #205, Spokane Wa 99202)

If consignors reside farther than 40 miles from Spokane, email the Tack Swap at Spokane4htackswap@gmail.com and request a parcel to be mailed. Sellers will be asked to reimburse Spokane Co. 4-H Tack Swap for the shipping costs by check mailed to the Spokane Co. Extension office.

A Consignment fee of $5, $10, or $20 will be collected at Friday check-in depending on services needed. Cash, check, or cc/dc accepted (3% card fee).

MyCM remembers your seller information! Returning consignors are able to transfer unsold inventory from our previous tack swap season into the new season!

Write down your MyCM account login and password, and BRING this info with you to check-in. You will need to login to your personal MyCM account at the Tack Swap to check your inventory into the sale.

Consignor checks will be mailed to your MyCM registered address by April 5, 2024 along with a copy of your Consignor Settlement Report.

Shop early! Purchase a $25.00 ticket and shop 7-8am, one hour prior to public shopping, on Saturday, March 23, 2024. Only 100 tickets available. One ticket per person for ages 8 years and older. Call 509-998-8350 to purchase tickets.

Commercial consignors (sellers who have over 250 items to consign)

Please contact the Spokane 4-H Tack Swap if you have over 250 items so an appointment can be made for your Check-in and arrival at the Spokane Co. Fairgrounds. Tack Swap volunteers will be better able to assist you during Check-in. Please read the Consignor Agreement in another tab on this web page completely as it contains important information regarding the Tack Swap’s Release of Liability and Waiver, commission, fees, and Consignor payment procedures.

Want to volunteer?

All adult 4-H volunteers must be enrolled 4-H volunteers. Current or past 4-H volunteers need to renew their 4-H online account. https://v2.4honline.com/

New volunteers must fill out the 4-H Volunteer Application and create a profile on 4-H Online. Select the “Resource Club” as your 4-H club. Select Horse as the project.

All 4-H youth members must be currently enrolled in 4-H. Siblings or non-member youth may volunteer if they volunteer over 6 hours at the event.

All volunteers that donate over 8 hours total are allowed to shop Friday night prior to the sale.

Thank you for supporting Spokane Co. 4-H Tack Swap as a vendor. Below is important basic information.

Set up:   11am-7pm, Friday, 3/22/24

Sale Day: 8am-2pm, Saturday,  3/23/24. Early Bird sale 7-8am – All shoppers must purchase an E.B. ticket prior to 3/20/24. Email kismetequestrians@yahoo.com  for E.B. tickets.

Booth tear down: 2-4pm Saturday, 3/23/24

Location: Spokane County Fair and Expo Center, Ag Complex ABC . Enter through Gate G from Havana St.

Booth space: 10×10 sq. ft., businesses/for-profit = $150. Nonprofit organizations = $100. Status must be current & active. Tables and chairs are available to rent, $10 & $5, respectively. Only 20 spaces available. No refunds

Booth payment: Checks payable to Spokane Co. 4-H Horse Project due in the office 3/15/2024. Mail checks to Spokane Co. 4-H Horse Project, ℅ Tack Swap Vendor Dept., 222 N. Havana St., #205, Spokane, WA  99202. Card payment over the phone accepted plus 3% card fee. Booth Representatives:  How many representatives will need a vendor ribbon?  All reps must wear a Vendor identifying ribbon during the Tack Swap.

Vendor Reps are welcome to shop during public shopping 8am-2pm. Vendor Reps who wish to shop early (7-8am) must purchase an Early Bird Ticket prior to 3/ 20/24. Call Susie Merritt (509) 998-8350 to purchase E.B. tickets.

All vendor information and products must be equine related (horse, mule, pony, mini, etc). Vendor products for sale must not compete with consigned items for sale on the floor. Contact Customer Service at Spokane4htackswap@gmail.com to confirm.

Q1: Where do I go for the 4-H Tack Swap?
A: 404 N. Havana St. Spokane County Fair and Expo. Enter through the main gate from Havana St., drive through gate G near Broadway Ave, and enter Ag complex A through the south doorway.

Q2: What is the website to register for the Spokane Co. 4-H Tack Swap?

A: MyConsignmentManager.com/4htackswap is the website to register as a new seller, a returning seller, or as a volunteer only.

  1. You can also access MyCM through the Spokane Co. 4-H website by clicking on the Tack Swap button.  It is HIGHLY recommended to write down your user name & password for future login. You’ll need this info upon Friday’s check-in at the Spokane Co. 4-H Tack Swap. 

 

Q3: Can I remove, add, and edit my inventory once it is entered? 

A: ABSOLUTELY! The MyCM website features user friendly editing that allows you to remove items if they sell at the Tack Swap, transfer items to next year’s Tack Swap, or enter into another swap that uses the same online MyCM system. You can edit the price, the description, the category, and other information within the inventory. 

Q4: How to transfer MCM inventory from previous year

Click on the links in this order to transfer your previous year’s inventory into the upcoming Tack:

Sellers login to their personal account at myconsignmentmanager.com/4htackswap
Scroll down to lower part of the page, select the icon “ITEM TRANSFER”
At box #1 entitled “Select Event to Transfer Items From”, select “SPOKANE COUNTY 4-H TACK SWAP/MARCH/2023 (closed) – 15145 from the dropdown menu. The seller’s 2023 inventory will be listed, both sold and unsold items.
In the column labeled Sold Item Status, select the dropdown menu for “NOT SOLD”, then click the blue arrows at the left (the REFRESH button)
Select the little box on the far left column to check all of the UNSOLD items listed.
At box #2 entitled “Select Event to Transfer Items To”, choose “SPOKANE COUNTY 4-H TACK SWAP/MARCH/2024 (open) – 15658” from the dropdown menu
Click on the blue button “TRANSFER ITEMS NOW”

Now, all of the seller’s unsold items from the 2023 Tack Swap have been transferred to the 2024 Tack Swap.

If sellers change ANY details on any items that were transferred from 2023, such as the price or description, a new sticker label must be printed to reflect this change. Once a new label has been printed, simply overlay the new label onto the obsolete label and use the same cardstock tag that could be already attached to the item.

 

Q5:  How do I price my tack and clothing?

A:  The lowest acceptable price is $1.00 increasing using whole dollar increments only. Use two zeros for cents after the decimal in the price.  For example, $1.00, $20.00, $500.00, etc. This Tack Swap does not carry coin change, so do NOT price your items using cents. 

 

Q6: What sticker labels do I need?

 

A: Avery 5163 work best. Order online at Amazon.com, Avery.com, or Sheetlabels.com. Labels must be white, 2″x 4″ rectangle, 10 labels/sheet, permanent, and are available in various quantities. Q7: Where do I pick up the unique 4-H cardstock tags for my printed labels?

A: The WSU Spokane Co. 4-H Extension Office, 222 N. Havana St. #205, Spokane, WA 99202. Prior to 3/15/24. Afterwards, wait until Friday’s consignment check-in day. 4-H volunteers will attach tags to your items as they are checked in. 

 

Q8:  After I print my sticker labels at home, then what?

A: If you have acquired special cardstock tags from Spokane Co. 4-H Extension office, 

  1. attach the barcoded labels to one side of one tag.
  2. attach the labeled tags to the appropriate items using a zip tie – refer to the TAGGING GUIDE on the WSU 4-H website. 
  3. Store your tagged items for travel
  1. If you have NOT acquired unique cardstock tags from Spokane Co. 4-H Extension office,
  1. Keep the printed labels on their sheets
  2. Pack the sheets of labels with your items
  3. Arrive Friday 3/22/2024 at the Spokane Co. Fairgrounds, Ag complex A, through Gate G from Havana St., and through the south doorway of Ag complex A, 11am – 7pm, or sign up for a consignor check-in appointment (highly recommended!) on the MyCM home page in your account. 
  4. A Tack Swap volunteer will check in your items and attach special cardstock tags on site.
    1. Organize your tack in such a way that we can match the labels to the item when you check in.   

 

Q9: Can I make an appointment to check in my items, or do I need to wait in line?

A: It is highly advantageous for you to sign up for an appointment to check in! Simply log in to your MyCM account and sign up on the MyCM home page .

 

Q10:  Should I clean and wash my tack and clothing?

A:  YES! When tack is clean, it has the greatest chance of selling. We will not accept dirty, smelly, muddy, broken tack.

 

Q11:  How do I donate my unsold  tack or clothing?

  

A:  There is a DONATE box on your MyCM inventory page to select while adding items onto the MyCM inventory list if you wish to donate your unsold items to 4-H. This option is available for each item listed. Upon check-out at the end of the sale, your unsold item marked with a D will be donated to Spokane County 4-H Horse Project. 

 

Q12: If I don’t want my items donated & want them returned, what do I select on the consignment system?

A: Simply leave the DONATE box unchecked.

 

Q13: Can I discount my items?

A: No. First, this is not an option to select on the MCM website. Secondly, the Tack Swap is only a one day sale. 

 

Q14:  Should I measure my saddles?  How about bits?

Q15:  I don’t own a printer. Can I still consign at home?

A:  YES!  You’ll want to enter your inventory items online at home. When you arrive at the Spokane fairgrounds to check-in on Friday,11am -7pm, a 4-H volunteer will print your barcode labels onsite, attach your labels onto Tack Swap’s special cardstock tags, and attach the tags to your items.

 

Q16:  Can I print my labels and attach them onto the 4-H cardstock tags myself?

A:  YES!  Pick up special cardstock tags from the WSU Spokane Co. 4-H Extension Office, 222 N. Havana St. #205, Spokane, WA. You may request to have tags mailed to you. Email the Tack Swap at Spokane4htackswap@gmail.com. Purchase your own 2″x 4″ rectangle labels (see Q4 above). 

 

Q17:  What is an equestrian?

A:  An equestrian is the human that rides a horse.  Equestrian Footwear is an example of a category that is on the consignment program which means RIDER FOOTWEAR; HUMAN FOOTWEAR.

 

Q18:  If I am a volunteer, should I sign up for a drop off /check-in time on Friday?

  

A:  NO – volunteers must scan/check-in their consigned items Friday prior to working at the Tack Swap.  There will be a special check-in table for volunteers to accomplish this on Friday.  Please acquire cardstock tags and labels (if needed) at one of the in-person volunteer training meetings. At home, print your sticker labels and attach the labels to 4-H cardstock tags, then zip tie the cardstock tag to the appropriate item BEFORE the swap.
